Templates that fill themselves in
A document template has fields for the things that change: names, dates, amounts, trip details. Send it against a trip and those fields are filled from the trip's own data automatically, so the same client-agreement template produces a correct, specific document every time. There's no copy-pasting names into a Word file.
A one-time code, not just a link
Before a client can view or sign, WaypointsX emails them a six-digit code that expires in ten minutes and locks out after five wrong attempts. The plain code is never stored, only its hash, so verifying a signature later never depends on a code sitting in a database somewhere.

Consent recorded, then the signature
Before signing, a client accepts a specific, versioned consent statement about signing electronically. Multi-signer documents, such as a client agreement needing both travellers, walk through signer groups in order, so the second signer only gets their turn once the first is done.
Sealed, with a certificate that reads like one
Once everyone's signed, the PDF is cryptographically sealed and a certificate of completion is appended to it. It's the same document, not a separate file to lose. The certificate lists every signer's name, role, email, authentication method, IP address, browser, and the exact time they were sent the document, viewed it, accepted consent and signed, alongside the unsigned document's hash.
Card authorisation, the same discipline
A card authorisation is a signed document like any other, built from the same templates and the same verification flow. When your agency has a card vault connected, the client adds their card through a hosted form that never touches WaypointsX's own servers. Every time that card is viewed afterwards, the reveal is logged: who looked, when, and why.
